This privacy notice informs you how we collect and use any personal data you provide when you engage with this service. It details your rights and responsibilities according to the General Data Protection Regulations in the processing of your personal data. 1.     What Types of Information We Hold

We collect and process the following personal data which is necessary for Architectural Services and to ensure we am providing a safe practice:

  • Your contact details.

  • Information about property including covenants and easements, if appropriate, Information about your property’s planning history.

  • Your bank details if you make payment for work via bank transfer 

2.     How We Obtain Your Information

We obtain your contact details when you make an initial enquiry by completing the contact form on my website or contact me by phone/email. Further contact details are provided by email once you have agreed to engage our services. Other personal data is provided by you verbally during meetings/ phone calls. 

3.     Why We Require Your Information

We collect personal data to enable us to tailor the architecture and design to your needs and to provide appropriate recommendations to you. It is standard practice for architects to take content notes after meetings, which help aid the process. 

4.     The Lawful Basis for Processing Your Information

‘Contract’ is the lawful basis by which we collect and process your information, because your data is necessary for us to provide the service you are contracting us for. After you agree to engage our services, you will be sent a contract / scope of services that outlines the terms and conditions under which the services are provided. If we need to share your personal data to protect someone’s life, (see point 5), the lawful basis for this is called ‘vital interests’.

5.     What We Do With Your Information

All data collected by us is treated as confidential information. We may discuss some of your information with other members of the design team, which is a necessary process for all architects. All other members of the design team shall be accredited by their respective statutory bodies and are therefore bound by the same GDPR regulations and confidentiality agreement that we adhere to. If an insurer or third party sponsors your architectural works, they may require confirmation of the contracts and/or progress reports. There are rare and exceptional circumstances, in which I may need to breach confidentiality, in line with my duty of care as an accredited professional. These circumstances are:

  • If we have concerns about your safety or the safety of another person in respect to your project, (example unsuitable existing structures).

  • If we are compelled to do so by a court of law.

  • If we require legal support for non-payment of fees

  • We shall always endeavour to discuss this with you prior to sharing any information. 

6.     How We Store Your Information

  • Emails: Emails sent to us or sent by us are processed and stored within a secure and end-to-end encrypted mailing system.

  • Electronic data: Stored in a secure Cloud storage, only accessible by Bucknall Design. All personal data is stored for 10 years from the date the work being completed / ended. All data is destroyed after this time period.

7.     Your Data Protection Rights

You have the right to inspect some or all the data we have collected if you wish. If your works are sponsored by an insurer or third party, you will receive copies of any information we share with them, and will be sent to you by email. 

8.     How to Complain

If you have queries or concerns about the collection and processing of your data, please discuss them with us. If you feel unable to do so, or we cannot reach a satisfactory resolution, you have a right to complain to the Information Commissioners Office: www.ico.org.uk. and/or to the Architects Registration Board the ARB: https://arb.org.uk/
